 EndNote 7 Basic Tutorial

EndNote is one of the most popular bibliographic management software programs designed to organize references, create bibliographies, and search remote electronic databases. It also enables you to collect and download your references from online catalogs and databases for inclusion in papers and presentations.

EndNote 7 compared to its previous versions expands its bibliographic capabilities so you can utilize your collection of references in more ways. EndNote 7 is now available to our UMDNJ affiliated users through a site licence. It can be downloaded in our University Libraries' Web page at http://www.umdnj.edu/librweb/access/EndNote.html.

This introductory tutorial is designed for use by the patrons of UMDNJ community. Covered in this tutorial are the following topics:


I. Creating an EndNote Library

 

Open the EndNote program. You will see this dialog box on the right (Figure 1). Click in the radio box next to "Create a new EndNote Library" and click on the OK button.

 

 

 

 

If the EndNote program has already been launched before, then from the File menu at the top of the screen, choose New. The New Reference Library window will pop up as shown in Figure 2 below.

Name the library in the File name box and save it to an appropriate folder as shown in Figure 2a.

You have now created an empty EndNote library (Figure 3):

II. Adding References to Your EndNote Library

To add your references to your EndNote library, you may either type the references manually or import the selected references from an electronic database. A library can hold up to 32, 000 references.

A. By Importing Selected References from MEDLINE (Ovid) into EndNote

You may add references to your library by importing references from a remote electronic database. The following example uses the MEDLINE database via the Ovid interface.

Follow these steps to import your citations directly from MEDLINE (Ovid) to your EndNote Library:

  • Complete a search in MEDLINE on Ovid .
  • Review your search results and select desired citations by clicking in the box to the left of the reference.
  • Arrow down to the bottom of the page to the Results Manager box. See Figure 4:

  • Under Results, click next to Selected Results if you don't want all the search results. You may also enter a range of citations in the box.
  • Under Fields, choose Complete Reference.
  • Under Result Format, choose Direct Export. Note: please do not include your search history.
  • Under Action, click on the Save button.
  • When a warning dialog box pops up, choose "Open it with default application". EndNote program will be automatically launched. Open the EndNote library in which you would like to keep the Ovid citations.
  • Once the desired library is open, you will be asked to choose an appropriate import filter. In this case, the filter is MEDLINE (OVID). See Figure 5 for details:

  • Then click on the Choose button. Your citations will be automatically exported from Ovid into that library.
    Now you have references in your library. Figure 6 below illustrates how a typical EndNote library looks like.

B. By Searching Remote Databases and Directly Downloading the Results

You may also add references by searching a remote database from EndNote and directly downloading the search results. To search a remote electronic database, from the "Tools" in EndNote, choose Connect and then move your cursor to another Connect (See Figure 7):

Clicking on Connect will launch the "Choose a Connection File" window. Highlight your desired connection file. In our example, PubMed (NLM) was chosen as shown in Figure 8:

Clicking on the Connect button will open the EndNote search box. Type your search subject in the search box. If there is more than one search term, type the other term in the next search box. Make sure the radio box next to And is on as shown in figure 9. Clicking on the Search button, you will automatically search PubMed remotely.

On the right is an illustration showing the number of search results from PubMed. You may click on OK to get all the references for browsing before coping them to your EndNote Library.

After retrieving and browsing all the references, you may select the ones you would like to keep. See Figure 11.

You may copy all of the references or just the selected ones to your desired library by clicking "Choose Library" (Figure 12). Choose the library you like and then the references will be added there.

C. By Typing or Cutting/Pasting References Manually

Most people don't prefer this way. However, there are times when this is the only option you can use to input your references. To use this option, choose New from the References menu. A [New Reference] window will be open. Before entering any information in the empty reference window, choose a reference type from the Reference Type pull-down menu at the top of the window. The default type for new references is Journal Article. Enter bibliographic data into each of the fields in the New Reference screen. Here is part of a new record:

After finishing a record, simply close the New Reference window to save it. The reference is then added to the library. Repeat this procedure to add additional references to your library if necessary.

III. Organizing, Sorting and Searching an EndNote Library

You can organize and sort the references in your EndNote library. When you open a library, it automatically sorts itself alphabetically by author. To sort by other categories, simply click on the tags (e.g. Author, Year, Title, URL or the paper clip icon) on the top of the library to sort or order the references by the designated field.

To define primary and secondary sorting order, you may use the Sort Options box to do that. From the References menu, choose Sort References.... The Sort Options box will pop up (see Figure 15a). Pick your sort options in the boxes for ascending or descending order.

You may also search your library using EndNote's search engine. From the References menu, choose and click on Search References. The search box will be launched. See Figure 9 for the search box, only this time you are searching an internal library instead of a remote database.

IV. Exporting References from EndNote to a Word Processor

EndNote offers several style options for bibliographic output. You must set the style first before exporting the selected references to a research paper.

A. To Create a List of References in a Word Document:

  • From the Edit menu, go to Output Styles and click on Open Style Managers... A window like the one below will appear to show the complete list of 1011 styles:

  • Mark and highlight the style of your choice as shown above. If you wish to learn more about a style, simply double click on that style. It will be explained in the next window.
  • Go back to Output Styles and make sure that the style you just chose is on the list and checked. With the style set, you are ready to export your bibliography.
  • Open your EndNote library and choose the references that you wish to export. You may also export all the references in the library. If you only want a certain number of references, press Ctrl and click on the desired citations at the same time to highlight them. Then go to the References menu on the top and choose Show Selected References.
  • From the File menu, click on Export.... The "Export file name" window pops up as shown in Figure 17 below:

  • The default directory will be the folder in which the working library is located. Either use this directory or choose your own. You may also either choose a new file name or keep the existing file name. Make sure the extension or tag is .rtf (rich text format). Then click on the Save button.
  • To export your references into a Word document, launch the Word program first and then open the .rtf file that you just saved. Your bibliography will be open in Word and you are now ready to merge the bibliography into your paper. Figure 18 is an example of the exported bibliography in Word:

  • In Word, you have the option to go back to EndNote by choosing EndNote 7 from the Tools menu in Word. See Figure 19.

B. To Insert Citations from EndNote to a Word Document:

EndNote also allows you to automatically insert citations in a paper while using Word. To insert citations, following these steps:

  • Open your Word document and begin typing your paper.
  • Position the cursor where you would like to insert the citations.
  • From the Tools menu in Word, choose EndNote 7 and then Go To EndNote to run EndNote program.
  • Open your EndNote library, highlight the reference(s) you need.
  • Return to the Word document. From the Tools menu, select EndNote 7 and Insert Selected Citation(s). Figure 19 illustrates the EndNote feature in Word's Tools menu:

V. Formatting Documents

EndNote enables you to format your paper in a word processor for printing. Here are the steps to format your paper in Word:

  • When you have finished your paper, from the Tools menu in Word, select EndNote 7 and then Format Bibliography (see Figure 20 below).

  • After clicking on Format Bibliography, the following window (Figure 21) will pop up. Select the desired output style, for example, APA Submitted as shown in Figure 21.

  • Click the Format button at the bottom of the box. The citations will be formatted using the selected style. References will be printed as end notes. It is very important to carefully proofread all references as there may be errors in the original bibliographic.
  • Print your formatted paper.
  • Note: You may wish to save the formatted version in a separate file. Select Save As from the File menu. Do not replace your original file with the formatted version. If you wish to add or change citations, you will need the original version as well as the same EndNote library. The formatted version of your paper cannot be easily modified to change citations. It can only be modified to make minor formatting changes.

VI. Working with Figures and Tables

You can store figures and tables in your EndNote library and use EndNote to insert them into your documents. You may insert only one image file in the Image field of a reference record. The supported image formats include BMP, JPEG, PNG, TIFF.

A. To store a figure in your library:

  • From the References menu choose New Reference to see a pop-up window like Figure 14.
  • In the Reference Type pull-down menu on the top of the window, select Figure.
  • Enter the information in the fields which are applicable. Note: For the ease of retrieval, you should at least complete the Title field.
  • In the Image field of the record, insert the figure by clicking on Insert Picture... from the References menu on the top of the window.
  • Locate your image file on your computer and insert it. (A smaller version of the image will be displayed. The actual image is stored in the .DATA folder located in the same folder as the library.)

Use the same procedure to store a table. The only exception is to select Chart or Table in the Reference Type pull-down menu.

B. To insert figures and tables into a Word document:

  • In Word, place your cursor at the spot where you would like to insert the figure or table.
  • Click on the "Find Figures" icon on the top if shown (see Figure 22); otherwise from the Tools menu choose EndNote 7 then Find Figures.

  • This will open a window in which you will be asked to locate the appropriate reference that contains the figure or table to be inserted. It will search only for the references with attached files (see Figure 23). Only the open EndNote libraries will be searched.

  • The actual figure or table will be inserted when the Insert button at the bottom is clicked.
  • Where the figure or table is placed (in the text or at the end of the document) depends on what output style you choose.
