Photocopier Information
The Global Copier Maintenance Program has proven to be a very
successful program for the University community. Cumulative
benefits deriving from this initiative are as follows:
Lower maintenance costs, including operating supplies
Accurate inventory listing of the University's photocopier
equipment
Elimination of requisition processing
Invoice consolidation
Maintenance Grouping under four (4) major manufacturers

COPIER MAINTENANCE F.A.Q.'s
Question: What is included in the cost per copy maintenance
program in addition to covering the maintenance contract program?
Answer: All repairs and supplies are included under
the copier maintenance except paper and staples.
Question: How will the charges to my department be
generated? Will they be based on actual monthly usage, or will
they be reconciled at year-end.
Answer: There will be no monthly copier are maintenance
charges. The copier maintenance charges are IDT'ed once annually
per machine.
Question: What if the yearly IDT charge comes out to
be greater than what we currently pay?
Answer: The copier maintenance cost per machine is projected
based on actual FY usage.
Question: What if the copier warranty is ending, how
can the copier be added to the program?
Answer :The department must contact Purchasing Services
or the company service representative to have the unit added
to the program.
FY2003 GLOBAL COPIER MAINTENANCE RATES
Photocopier Maintenance charges will be IDT'd (internal debit
transfer) to departmental indexes during the first week of August.
These charges will represent a one time allocation for the year's
service.
Each department will be IDT'd for their photo copier maintenance
cost at a set rate based on the manufacturer.

Recently purchased units rotating off of warranty will be added
to the global copier inventory on a prorated basis. Existing
copiers being removed from service should be reported to Purchasing
Services immediately so that the copier inventory can be adjusted
accordingly.
