I.        PURPOSE

To regulate the use of the University's name and symbols, especially in promotions by and to external groups.

II.       ACCOUNTABILITY

Under the direction of the Vice President for University Affairs, the Director of University Marketing Communications shall ensure compliance with and implement this policy.

III.      POLICY

A.      The name, symbols and other logotypes of the University of Medicine and Dentistry of New Jersey and of its component institutions identify the total organization and the many faculties, students, and staff who, in effect, comprise the University. The name, symbols and other logotypes of the University have a strong recall factor. Therefore, the University's name(s) and symbols must not be used indiscriminately, and special care should be taken when such identifying marks are involved in promotions to, by, and with external groups and the public. The following guidelines must be followed for implementation of this policy:

1.      The name and symbols of the University should be a freestanding entity at all times. The seal, symbol, or any other identifying logotype of the University should not be combined with any other symbol or distorted in any way.

2.      Outside organizations may use a University‑identifying mark only when the event is co-sponsored by the University.

3.      In cases of co-sponsorship:

The UMDNJ unit arranging the co‑sponsorship must advise the Vice President for University Affairs, or designee, so that use of the University symbol or other identifying marks can be monitored. The arranging unit must advise the Office of University Marketing Communications regarding the reason and circumstances for the use of the University's name/symbol.

The outside organization and/or the arranging unit must submit a copy of how the University's name/symbol will appear in print to the Director of University Marketing Communications for approval before distribution.

4.      Logo standards guiding the design, size, placement, color specifications, required captions and paper stock requirements of the University Logo are maintained by the office of University Marketing Communications and can be viewed at www.umdnj.edu/logoweb.

B.       This policy is in no way meant to infringe on academic pursuits or professional activities, or in established procedures for planning, organizing and effectuating programs involving the University with outside organizations or programs in which the University is the major sponsor. Permission for such activities should be pursued through established channels, but it is suggested that the Office of University Marketing Communications can make a contribution toward promoting such activities, and therefore, should be advised as early as possible when these activities will impinge on the general public, either because of the publicity attached thereto or because the public will be invited or otherwise have a participatory interest or role.
