INTRODUCTION

Interlibrary Loan (ILL) is a service that is provided by the UMDNJ – Smith Library, to obtain materials not in our collection in a timely manner.  The Library also has a Pull & Copy Service; articles are retrieved from the Library’s collection and copied or scanned for the requestor for a nominal fee.

Qualified UMDNJ requestors may obtain books, dissertations, audiovisual materials, and photocopies of journal articles not available in the UMDNJ – Smith Library.  Materials may be requested from another UMDNJ campus library or from libraries throughout the United States.

Some requests may not be able to be filled.  For example, copies of dissertations or audiovisuals may not be lent by their holding libraries. Most libraries will not lend items from their reference or reserve collections or complete volumes/issues of journals.

ELIGIBILITY AND ACCESS

Interlibrary Loan services are available to all registered library users.  This includes faculty, staff, and students of UMDNJ and its joint programs, as well as members of the Friends of UMDNJ Libraries program.

In most instances, the Library can obtain copies of articles free of charge from libraries throughout the United States.  When it is not possible to obtain a free copy of an article, the cost is passed on to the requestor.  The national average cost per article is $11.00.

Fees for the Smith Library’s Pull & Copy Service are charged at the rate of $.25/page.  Request forms for this service are available in the Smith Library or via electronic form (http://www.umdnj.edu/librweb/newarklib/forms/illreqfm1.html).  Please complete a separate form for each article requested.  Fees may be charged to departmental Banner indexes or paid with cash or personal check.

1. Requestors must complete an ILL Request Form.  Paper copies of the form are available at the Circulation and Information Desks.  An electronic copy of the form may be found at:  http://www.umdnj.edu/librweb/newarklib/forms/illreqfm1.html

2. Please do not submit literature search printouts, photocopied bibliographies, or handwritten lists of articles.  Each item should be requested individually, using the ILL Request Form.  Information contained on literature search printouts may cut up and each complete citation affixed to a paper request form.

3. Complete bibliographic information for each journal article or book must be supplied, e.g. author, title of journal/book, title of article, year of publication, volume, issue, pages, etc.  If you are having trouble locating this information, librarians at the Information Desk will be happy to help.

4. Request forms may be submitted via U.S. mail, fax, electronic form, or in person.

5. The ILL Department does not limit the total number of requests submitted per person.  However, if a large number of requests are submitted simultaneously, five (5) requests per person. per day will be processed

6. It is the responsibility of the requestor to clearly indicate the latest date that the material may be received, e.g. article needed by July 5, 2005.  Requests are generally filled within three (3) working days; processing time is determined by the lending library.  Requestors should allow one week from the date of submission for delivery.

7. To inquire about the status of loan requests, visit the ILL Department between the hours of 8:00am – 5:00pm.  The department is located on the CR or upper level of the Library.  Inquiries may be made by telephone; call (973) 972-5319 (x2-5319) or (973) 972-7456 (x2-7456).

RUSH ILL REQUESTS

Rush ILL requests can be made by going directly to the ILL office.  Rush requests are only available for journal articles.  They will be received within 24 hours.

It is important that requestors indicate their preference for delivery of articles.  If “hold for pick up” is indicated, materials will be held at the Circulation Desk, located on the Mezzanine or Main level of the Library.  If a requestor chooses to have their items mailed, this will be done via campus mail or U.S. mail after all monetary obligations have been met.

All books and audiovisuals requested via ILL must be picked up by the requestor or their designate.  ILL staff will not release materials without the signature of the requestor or their designate.  Books may be picked up and returned to the ILL Department office, located on the CR or upper level of the Library.  Audiovisual materials may be picked up and returned to the Media Center, which is located on the Mezzanine or Main level of the Library.  All books and audiovisual materials borrowed via ILL must be returned on or before the designated due date.  Requestors who are delinquent in returning materials jeopardize their borrowing privileges.  Any late fees accrued will be charged to the requestor.  Failure to pay late charges will result in suspension of borrowing privileges.

Requestors will be notified by the ILL Department when their materials have arrived.  (If materials are not picked up within a two month period, they will be discarded.)

Copies of articles that are delivered via e-mail or fax will be held for one month, in the event that there were transmission errors.

If fees for borrowing materials are assessed, they may be paid by:  charge to Banner Index account, cash, personal check, or money order.

LOANSOME DOC  Back to Top

Loansome Doc is a document ordering capability of PubMed.  It allows PubMed users to request a full text copy of an article using the bibliographic references from search results.  There is a fee for this service.

In order to use Loansome Doc to order copies of articles, users must have an account with the Smith Library.  To set up a Loansome Doc account, call (973) 972-5319 (x2-5319) or (973) 972-7456 (x2-7456).

COPYRIGHT

Requests to the ILL Department are subject to U.S. Copyright Law.  Therefore, requests for copies of articles over 50 pages in length or copies of entire books will not be filled.
