Employment Agencies/Search Firms

PURPOSE: To set policy for the utilization of employment agencies and search firms.
RESPONSIBILITY: The Vice President for Human Resources is to ensure compliance with this policy.
POLICY:
Employment agencies/search firms may be utilized once all other avenues of recruitment have been explored with the campus Human Resources Office, or in the case of high level positions, as deemed necessary by the University.
PROCEDURE:
1. A department head wishing to utilize the services of an employment agency/search firm for recruitment must contact the Office of the Vice President for Human Resources.
2. Once it has been determined that the engagement of an employment agency/search firm is appropriate, Human Resources will provide the department head with a list of firms that have been pre-qualified by the University to conduct recruitment/search activities.
3. Human Resources will advise the department head with respect to fees, process and the most appropriate firm to conduct the recruitment/search.
4. The department head must complete a Purchase Requisition Form, obtain budget approval and return it to the Office of the Vice President for Human Resources.
5. Human Resources will prepare an Agreement form and forward it to the agency/search firm for signature.
6. Once the Agreement is signed by all parties and a purchase order issued, Human Resources will advise the agency/search firm to begin recruitment.
